Roombelt is a meeting room display system that can be used as a Cloud service (SaaS) or On-Premises (self-hosted). It seamlessly integrates with Google Calendar, Microsoft Office 365, and Zoho.

# Getting started with Google Calendar

Roombelt integrates with Google Calendar to display meeting room schedules on tablets placed by meeting room doors in your office.

### How the integration works

Roombelt's two-way integration with Google Calendar ensures real-time visibility of your bookings. When a meeting room is booked from the Google Calendar user interface, it will be instantly shown in Roombelt, providing you with accurate and reliable information.

If a meeting room is free, you can book it from a Roombelt device, and it will be visible in Google Calendar. You can extend this meeting from Roombelt or end it earlier to free the room.

### Creating an account

To set up the integration, go to [app.roombelt.com](https://app.roombelt.com), click "Log in with Google," and grant Roombelt the required permissions. These permissions allow Roombelt to access meeting room schedules and create or edit meetings right from connected tablets. See [Understanding permissions in Google Calendar](/supplemental-info/understanding-permissions-in-google-calendar) for details.

### Connecting device

Now it's time to connect your first physical device (e.g., tablet). To test Roombelt, you can use any tablet or even a mobile phone:

1. Open [app.roombelt.com](http://app.roombelt.com) on your device using any internet browser and click "Register device". You should see a "connection code" that will be needed shortly.
2. Open the Roombelt administration panel on your computer (see [Creating an account](#creating-an-account) section) and click "Connect device".
3. In the "Connect device" dialog, provide the "connection code" and click "Next".
4. Pick the device type "Single calendar" and click "Next".&#x20;

If a meeting room is free, you can book it from a Roombelt device, and it will be visible in Zoho. You can extend this meeting from Roombelt or end it earlier to free the room.

Roombelt lets you create a beautiful and functional read-only status board view with a list of current and upcoming meetings across all (or selected subset) of your meeting rooms.

To create a dashboard:

1. 5. On the "Device type" screen, select "Status board" and click "Next".
6. Pick the calendars you want to display on the device and click "Voila".

# Setting up tablet featuring multiple meeting rooms

Roombelt supports the "Multiple calendars" view that shows several meeting rooms on a single tablet. Users can see the current status of each room, book available rooms, and extend or end meetings right from the device (see screenshot below).

# How to configure iOS tablet to run Roombelt

You can easily configure any modern iOS device to run Roombelt in three steps:

1. [#add-roombelt-to-the-home-screen](#add-roombelt-to-the-home-screen "mention")

### Add Roombelt to the home screen

After following the steps below, Roombelt will be displayed on the home screen just like a regular application installed with the App Store:

1. In Safari, open <https://app.roombelt.com>.
2. Tap the menu icon <img src="https://help.apple.com/assets/65E21662495F1A6C8701F50A/65E21663EF8273BE1D0C2734/en_US/d26fe35d3438fe81179a80c2b6c9b0c9.png" alt="the Share button" data-size="line"> in the menu bar.
3. Tap the "Add to home screen" option.

At this point, Roombelt should be on your home screen. For details, refer to the [iOS documentation](https://support.apple.com/en-al/guide/iphone/iph42ab2f3a7/ios#iph4f9a47bbc).

### Configure iOS to keep the screen always on

To keep Roombelt visible, your tablet shouldn't lock after a period of inactivity. You can configure your iPad always to keep on as described below:

1. Go to Settings <img src="https://help.apple.com/assets/65E21662495F1A6C8701F50A/65E21663EF8273BE1D0C2734/en_US/88b2400e45bcf521514b7252cbb2d959.png" alt="" data-size="line"> > Display & Brightness > Auto-Lock.
2. From the available options, select "Never".

### Turn your device into a kiosk with Guided Access (optional)

Prevent users from messing up with your iPads by leveraging the built-in Guided Access functionality:

1. Go to Settings <img src="https://help.apple.com/assets/65E21662495F1A6C8701F50A/65E21663EF8273BE1D0C2734/en_US/88b2400e45bcf521514b7252cbb2d959.png" alt="" data-size="line"> > Accessibility.
2. Turn on Guided Access.
3. Tap "Passcode Settings" to configure a passcode to leave the Guided Access.
4. Open Roombelt from the iOS home screen.&#x20;
5. Triple-click one of the following:

   The Home button (on an iPad with a Home button),

   The top button (on other iPad models).
6. Tap "Start".

# How to configure Android tablet to run Roombelt

On Android, we recommend using one of the free kiosk applications available on Google Play. The one that works best for our customers is [Fully Kiosk Browser & Lockdown](https://play.google.com/store/apps/details?id=de.ozerov.fully).

### Configuring Roombelt with "Fully Kiosk Browser & Lockdown"

1. Install the app on your tablet using [Google Play](https://play.google.com/store/apps/details?id=de.ozerov.fully).
2. Open the app and set "Start URL" to <https://app.roombelt.com/device> (mind the `/device` part at the end of the URL).


# How to configure Philips digital signage devices to run Roombelt

Philips 10BDL4151T, 10BDL4551T and 10BDL5051T are top-class digital signage devices. We recommend running Roombelt on these tablets for maximum reliability.&#x20;

By following the steps below, you can configure the device to start Roombelt automatically after a power outage. Additionally, the Roombelt dedicated app takes advantage of the side LED bars built into this tablet so that they change color according to the meeting room availability.

Prerequisites:

1. Go to the Device Settings screen and open "Signage Display".
2. Choose "Network application" and then "SICP network port".
3. Ensure that the SICP is enabled and the port is set to 5000.

Installation:

1. On your Philips device, open Chrome, download the Roombelt app from <https://roombelt.com/philips> and install it.
2. Go to the Device Settings screen and open "Signage Display".
3. In "Signage Display", choose "General Settings" and then "Boot on source".
4. In "Boot on source" select "Custom app".
5. Go back to the "Signage Display" screen and choose "Source settings".
6. In "Source settings" click "Custom app" and then "Select app". Choose "Roombelt" and click "Save".


# How to configure Qbic TD-1060 to run  Roombelt

Qbic TD-1060, with its side LED bars, is specifically designed for meeting room schedule displays. Once you set <https://app.roombelt.com/device> as the start page in the device's internet browsers, no additional configuration is needed, and the LED bars should work right away.

# How to add missing Google Calendar room

Roombelt acts in the context of the user who signed up for the administration panel (see [Understanding permissions in Google Calendar](/supplemental-info/understanding-permissions-in-google-calendar) for details). It has access only to the calendars added to the list of "My Calendars" in Google Calendar, as shown in the screenshot below.

You can add a meeting room calendar to the "My calendars" list by following the steps below:

1. Scroll to the "Other Calendars" section and click the "Add other calendars" button.\

2. Choose "Browse resources" and select the meeting rooms you want to see in Roombelt. If "Browse resources" is unavailable, click "Subscribe to calendar" and search for your meeting room by name.\

3. At this point, the meeting room calendar should be visible in Roombelt.

You might have read-only access to the meeting room calendars, depending on your permissions. If this is the case, ask your G-Suite administrator to follow [this documentation page](https://support.google.com/a/answer/1034381?hl=en) and share meeting rooms with you with permission to "Make changes to events."

For [organization accounts](/reference/account-settings/organization), Roombelt can only see calendars available for the organization owner. If you can't see a meeting room in Roombelt, even after adding it to the 'My Calendars' list, please ensure that you've added it using the organization owner's Google Calendar account.

# How to add missing Microsoft 365 room

You can add a meeting room calendar to the calendars list by following the steps below:

1. As an Microsoft 365 admin open <https://admin.exchange.microsoft.com/#/resources/:/ResourceDetails>
2. Click on the meeting room you want to manage in Roombelt and on the side panel go to tab "Delegation".
3. Scroll down to the section "Read and manage (Full Access)" and add as a delegate the Microsoft 365 account used to sign in to Roombelt.
4. Wait a few minutes to ensure the changes are propagated in Microsoft's infrastructure (important!).
5. As the Microsoft 365 account used to sign in to Roombelt go to the Outlook calendar.
6. If you already have the meeting room added to the list of calendars - remove it, otherwise it won't be visible in Roombelt.
7. In the Outlook calendar click "Add calendar" and open tab "Add from directory".\

8. Search for the meeting room you want to manage in Roombelt and add it to the list of displayed calendars.

For [organization accounts](/reference/account-settings/organization), Roombelt can only see calendars available for the organization owner. If you can't see a meeting room in Roombelt, even after adding it to the calendars list, please ensure that you've added it using the organization owner's Microsoft 365 account.

# How to show meeting summary in Office 365

One issue most Roombelt evaluators face when using Office 365 is that Roombelt displays an organizer name instead of the meeting summary. The default Office 365 configuration causes this and can be easily fixed by following the steps described below:

1. Open Powershell on your Windows machine.
2. Install the Exchange Online Powershell V2 module:\
   `PS> Install-Module -Name ExchangeOnlineManagement -Scope CurrentUser`\
   \
   The [Microsoft Exchange documentation](https://docs.microsoft.com/en-us/powershell/exchange/exchange-online-powershell-v2?view=exchange-ps) provides more information about ExchangeOnlineManagement.
3. Sign in to the Exchange Online:\

4. Update configuration of your room's mailboxes:\

   The command updates settings for calendars of all rooms in your organization. The flags used are:
   * `RemovePrivateProperty $false` - private meetings will be flagged as private in the meeting room calendar.
   * `DeleteComments $false` - keep meeting description in the meeting room calendar.
   * `DeleteSubject $false -AddOrganizerToSubject $false` - don't replace the meeting summary with the organizer's name
5. Disconnect from Exchange Online:\
   `PS> Disconnect-ExchangeOnline`


# How to automatically remove "no-show" meetings

You can require check-in at the Roombelt tablet at the beginning of each meeting. If nobody checks in, the meeting will be removed. Additionally, you can configure Roombelt to remove recurring "no-show" meetings automatically.

1. Open the [Device settings](/reference/device-settings) screen in the Roombelt administration panel.

2. In the "Check-in" section, change "Not required" to "Required in the first 10 minutes".

4. Click "OK" to save your changes.


# How to change device background

To set any image as a device background, follow the instructions below:

1. Open the [Device settings](/reference/device-settings) screen in the Roombelt administration panel.
2. Click "Theme" (in the lower left corner) and "Upload background".
3. Choose an image from your computer.
4. Wait until the image is uploaded, and click "OK" to save your changes.

You can now refresh Roombelt on your device or wait up to 30 seconds, and the background will load automatically.

Background images that follow device orientation give the best results. If you put your tablet in a landscape orientation, use a horizontal background; if you have a device in a portrait orientation, use a vertical background.

# How to ask for confirmation prior to booking a room from a display

For selected rooms, you can require confirmation before booking them from the Roombelt tablet:

1. Open the [Device settings](/reference/device-settings) screen in the Roombelt administration panel.

2. Enable the "Ask for confirmation to" -> "Create meeting" section. Optionally, provide a confirmation message.

3. Click "OK" to save changes. Starting now, Roombelt will ask for confirmation while creating quick meetings from this device. Additionally, users will have the option to provide a meeting summary on the confirmation screen.

# How to setup a slide show on Roombelt status board

Roombelt status boards can work in a slide show mode, which alternates between showing the meeting list and custom full-screen images. This mode is usually used to display company announcements on the TV used by Roombelt.

1. Open the [Device settings](/reference/device-settings) screen in the Roombelt administration panel.

2. Click "Configure slide show".

3. On the "Dashboard slide" dialog, select the intended time per slide and click "New slide" to upload the slide image.

4. Click "OK" on the "Dashboard slides" screen and then click "OK" on the "Device settings" screen to save the slide show.

# How to ensure device stays connected after restart

We use browser cookies to maintain the connection between devices and the Roombelt account. On some older devices, the connection breaks after restart. You can force the device to stay connected by following the steps below:

1. In the Roombelt administration panel, click the three dots button for your device and select "Reassign".

2. The lower part of the "Reassign device" dialog contains a permanent URL for the device (see screenshot below). Set it as the home page on the device running Roombelt.

# How to setup Roombelt Self-hosted for Google Calendar

To run Roombelt self-hosted you need an evaluation license that you can get from <mateusz@roombelt.com>.

### Introduction

Roombelt Self-hosted is distributed as a docker image and is available on [Docker Hub](https://hub.docker.com/r/ziolko/roombelt). This document does not cover provisioning and maintaining the docker application (including setting up an SSL certificate for HTTPS).

We recommend pinning to a specific Roombelt version instead of using the `latest` docker image tag. New Roombelt versions might require a database schema update to work.

### **Creating an application in Google Cloud Console**

Roombelt Self-hosted runs entirely on your infrastructure. To communicate with Google Calendar API, you need to create a Google Cloud project as described below:

1. Go to[ https://console.cloud.google.com/cloud-resource-manager](https://console.cloud.google.com/cloud-resource-manager).
2. Create a new project using the *Create Project* button.
3. In the new project go to[ *API Library*](https://console.cloud.google.com/apis/library) and enable the following API-s
   1. Google Calendar API
   2. Google People API
4. Go to[ OAuth consent screen](https://console.cloud.google.com/apis/credentials/consent), select “Internal” User Type, set *Product name shown to users* to value *Roombelt,* and set the developer contact email. Leave the other fields empty.
5. Go to[ Credentials](https://console.cloud.google.com/apis/credentials) and click *Create Credentials* -> *OAuth client ID*
   1. Choose *Application type* to value *Web application*
   2. Set *Authorized redirect URIs* to `https://<ROOMBELT_URL>/google/oauth_callback`
6. Click *Save*
7. Store *Client ID* and *Client secret* somewhere - you will need them shortly.

### Configuration

Roombelt docker image accepts the following environment variables:

* `GOOGLE_CLIENT_ID` - the *Client ID* that you saved in the previous steps.
* `GOOGLE_CLIENT_SECRET` - the *Client Secret* that you saved in the previous steps.
* `GOOGLE_REDIRECT_URL` - the *Authorized redirect URIs* that you’ve configured in the Google Cloud in the previous steps.
* (Optionally) `GOOGLE_WEB_HOOK_URL` - set it to `https://<ROOMBELT_URL>/google/web_hook`. If this variable is set, Roombelt uses webhooks instead of short polling Google Calendar API. As this is yet another point of failure it’s recommended to *not* set the variable unless the installation is reaching Google API limits.
* `PORT` defines a port the application will bind to (defaults to 3000).
* `LICENSE_KEY` is the license key you can get from the [Roombelt team](mailto:mateusz@roombelt.com).
* `DATABASE_URL` - see [#supported-databases](#supported-databases "mention").
* `UPDATE_DATABASE_SCHEMA` - see [#creating-the-database-schema](#creating-the-database-schema "mention").
* (Optionally) `SMTP_URI` is used to send email notifications about offline devices (displays).
* (Optionally) `ALLOWED_EMAILS` is the email address of the service account used to configure meeting room displays in your organization. This will block access to your Roombelt instance for other users from your organization and users from other organizations.
* (Optionally) `EMAIL_FROM` - the email address set as FROM for all email notifications.
* (Optionally) `EMAIL_REPLY_TO` - the email address set as REPLY TO for email notifications of offline devices.
* (Optionally) `EMAIL_NO_REPLY` - the email address set as REPLY TO for email notifications about issues with rooms reported by users.

### Supported databases

Roombelt supports PostgreSQL 12 or newer and SQLite databases.

To use SQLite, set `DATABASE_URL` to `sqlite:/roombelt/db/roombelt.sqlite` **and** mount `/roombelt/db` as a volume in docker so that the database survives application restarts.

1. Start Roombelt with the environment variable `UPDATE_DATABASE_SCHEMA` set to `true`.
2. Wait about a minute to ensure the database schema is created.
3. Stop Roombelt, set `UPDATE_DATABASE_SCHEMA=false`, and restart the application.

### Updating the database schema

New versions of Roombelt might require a database schema update. The process of updating the database is:

1. Stop Roombelt docker container.
2. Backup Roombelt database (for SQLite creating a copy of the folder with the database file is sufficient).
3. Start a new version of Roombelt with `UPDATE_DATABASE_SCHEMA=true`.
4. Wait about a minute to ensure the database schema is created.
5. Stop Roombelt, set `UPDATE_DATABASE_SCHEMA=false`, and start the application.

### **Creating an application in Azure**

Roombelt Self-hosted runs entirely on your infrastructure. To communicate with Microsoft Office 365 API, you need to create an Azure project as described below:

1. Open <https://portal.azure.com/#blade/Microsoft_AAD_RegisteredApps/ApplicationsListBlade> and click "New registration".
2. Type any name, choose "Accounts in this organizational directory only (Single tenant)" and click "Register".
3. Open the registered application overview page.&#x20;
4. Copy “Application (client) ID” and set it as the `OFFICE365_DELEGATED_CLIENT_ID` environment variable of the Roombelt docker container.&#x20;
5. Copy "Directory (tenant) ID" and set it as the `OFFICE365_DELEGATED_TENANT_ID` environment variable.
6. Go to “Certificates and secrets” and create new client secret. Set any expiration date. Copy the client secret value and set it as the `OFFICE365_DELEGATED_CLIENT_SECRET` environment variable.
7. Go to API permissions, and click “Add a permission”. Select “Microsoft Graph” and then “Delegated permissions”. Select:
   * openid
   * profile
   * email
   * offline\_access
   * Calendars.ReadWrite.Shared&#x20;
   * User.Read
8. Go to “Authentication” and click “Add a platform”. Choose “Web” and type Redirect URI in the format `https://<ROOMBELT_URL>/office365/delegated/oauth_callback`. Set `OFFICE365_DELEGATED_REDIRECT_URL`  environment variable of the Roombelt docker container to the value set above.

### Configuration

Roombelt docker image accepts the following environment variables:

* `OFFICE365_DELEGATED_CLIENT_ID` - the *Application (client) ID* of the Azure application created in [#creating-an-application-in-azure](#creating-an-application-in-azure "mention").

To manage meeting rooms in Roombelt you need to set your Office 365 account as a delegate to the resource calendars. To do that:

1. Open <https://admin.exchange.microsoft.com/#/resources/:/ResourceDetails>
2. Click on the meeting room you want to manage in Roombelt and on the side panel go to tab "Delegation".
3. Scroll down to the section "Read and manage (Full Access)" and add the Office365 account used to sign in to Roombelt as a delegate.
4. As the Office365 account used to sign in to Roombelt go to Outlook Calendar.
5. In Outlook Calendar click "Add calendar" and open tab "Add from directory".
6. Search for the meeting room you want to manage in Roombelt and add it to the list of displayed calendars.

### Supported databases

# Supported hardware

# Administration panel

The roombelt administration panel is available after signing in to the system at <https://app.roombelt.com>.

* List of devices connected to the system (highlighted with a red solid line on the screenshot above),
* The "New device" button is used to connect new devices to the system,

* The "Bulk edit" button is available when at least one device is selected with a checkbox. See [Bulk editing devices](/reference/bulk-editing-devices) for details.

### Account menu

The account menu is available upon clicking on the user avatar in the upper right corner of the page and has the following options:

* "Organization" - share Roombelt account with other users from your organization. See [Organization](/reference/account-settings/organization).
* "Notifications" - email notifications about offline devices. See [Email notifications](/reference/account-settings/email-notifications).
* "Energy saving" - configure the schedule when your device's screen should be blacked out (only if "Enable energy saving" is enabled for the device). See [Energy saving](/reference/account-settings/energy-saving) for details.
* "Help" opens product documentation.
* "Log out" ends the user session and redirects to the product login page.


# Account settings


# Managing subscription

You can manage your Roombelt subscription by clicking the "Account menu" -> "Subscription settings". From there, you can start, update, or cancel your subscription. If you have any issues or questions, [reach out to us](mailto:mateusz@roombelt.com).

# Organization

This functionality is available after starting a subscription. You can't configure organization settings on the evaluation plan.

You can share your Roombelt account with other users in your organization by clicking the "Organization" option in the "Account menu", as shown in the screenshot below.

To turn your account into an organization account, toggle the checkbox "Share this Roombelt account with other users from *company\_domain*". Then, add the organization members below. Users from your organization who are not on the list will see an error while trying to sign in to Roombelt.

For security reasons, you can only add members who share your email domain. For example, if you signed up for the product as <mateusz@roombelt.com>, you can't add <mateusz@example.com> as a member, but you can add <filip@roombelt.com>.

### Organization owner

Under the hood, Roombelt communicates with Google Calendar / Microsoft Office 365 or Zoho using a single user account (the user who created the organization in Roombelt). If the owner account is removed, Roombelt will lose access to the calendars' data. To change the organization owner to another account, [contact us](mailto:mateusz@roombelt.com).


# Energy saving

You can configure Roombelt to black out the screen or show a screen saver on connected devices after business hours. This functionality can be enabled individually for each connected device, as documented in [Device settings](/reference/device-settings).&#x20;

To configure the energy- saving schedule click the "Energy saving" option in the "Account menu" (see screenshot below).

### Energy saving schedule

Choose at what time devices with the "Energy saving" option are enabled. Outside of the selected time range, your device's screen will either be black or show a screen saver, depending on configuration. Users can still interact with the device in "energy saving" mode, but they need to tap the device to wake it up.

Tablets with OLED displays usually consume less energy on a black screen. On the other hand, LCDs might consume **more** energy for a black screen. Always measure the actual energy usage after setting up this option.

### Wake up options

Configure your devices to wake up even outside working hours if there's a scheduled meeting or when someone interacts with the screen.

### Screen saver

Display an image (possibly an animation with a GIF file) instead of the black screen when in "energy saving" mode. Additionally, you can choose to display the current time and a custom message on the screen.

You can choose to display the screen saver only during specified hours and switch back to the plain black screen outside of that time range (e.g., on weekends).


# Email notifications

On the "Email notifications" you can configure two kinds of notifications:

* Issues reported by users from meeting room tablets (If "Report issues from device" option is selected on the [Device settings](/reference/device-settings).
* Notifications about Roombelt devices going offline for any reason.

&#x20;To open the notifications settings, open the "Account menu" -> "Notifications," as shown in the screenshot below.

### Configuring notifications for issues reported by users

Specify one or more email addresses in the "Send issues reported by users to" field to receive notifications for each issue reported by a user. If left blank, the Roombelt administrator's email will be used.

You can send issues reports to a Slack by providing a [channel email address](https://slack.com/help/articles/206819278-Send-emails-to-Slack#h_01F4WDZG8RTCTNAMR4KJ7D419V). You can also [send reports to Jira](https://support.atlassian.com/jira-cloud-administration/docs/create-issues-and-comments-from-email/) to create an issue from each report.

### Configuring notifications about offline devices

Roombelt sends notifications for devices that:

* haven't connected to the Roombelt server in the last 5 minutes, and
* were active in the previous five days and
* aren't [marked as disabled](/reference/disabling-devices) in the administration panel.

On the "Notifications settings" screen, you can:

* enable this functionality for your account,
* choose the time and days of the week when you'd like to receive notifications, and
* select target email addresses that will receive notifications.

# Device settings

Most Roombelt configuration is done on the "Device settings" screen. To open it, click a device row in the administration panel (see screenshot below).

# Device view modes

Roombelt supports three different modes of operation (views) for devices connected to Roombelt. We've designed each of them to support the various needs of the modern office. You can choose the device view on the device settings dialog, as shown in the screenshot below:

* **Single calendar** displays the meeting room's current status and a list of upcoming meetings. Users can easily book rooms or modify existing meetings right from the tablet. [Learn more about the Single calendar view](/reference/device-settings/single-calendar-view-settings).<br>

* **A status board** displays a read-only list of current and upcoming meetings, meant to be displayed on a TV in a company lobby or kitchen. It can also work in a slide show mode to alternate between the meetings list and company announcements. # Single calendar view settings

You can open the single calendar settings screen by clicking the device on the devices list in the Roombelt administration panel.

### View&#x20;

In this section, select the "Single calendar" option and pick the calendar displayed on the device.

### Display name, location & device group

* **Display name** - the name of this meeting room. When a custom display name is configured, it replaces the meeting room name across the Roombelt user interface. In the screenshot above, there's a meeting room called "HQ-L-Earth" in Google Calendar. By setting the device display name to "Earth," you can have a more friendly name for the meeting room in Roombelt (on device view, status board, "find room" view, etc.).
* **Location** - the physical location of the device in the office (e.g., "Ground floor"). This is displayed in the Roombelt administration panel next to the device name on the device list. Additionally, you can configure a status board to show a location column. See [Status board view settings](/reference/device-settings/status-board-view-settings) for details.
* **Device group -** Devices in the same group are visible on each other's "find room" screens. This is used primarily by companies managing meeting rooms located in separate buildings (often in different cities) in a single Roombelt account.

  *Note: Clear this field to hide the "Find room" button on the device.*

### Locale

Configure device language, time zone, and clock type (12 or 24 hours).

### Check-in

You can require users to check in on Roombelt device, e.g., in the first 10 minutes of the meeting. If they don't check in on time, the meeting will be removed from the meeting room calendar, allowing others to book it. You can also automatically remove future occurrences of recurring meetings if nobody checked in 2 or 3 times in a row.

### Room capacity & capabilities

In this section, you can configure the room size and equipment available in the room. Room capabilities are displayed in various places on Roombelt devices, as shown in the screenshot below (e.g., on the device view, "Find room" screen, and status board).

### Display options

* **Read-only mode** - hide all buttons for creating, extending or removing meetings from the tablet.
* **Read-only for scheduled meetings -** allow creating meetings when the room is available, but don't allow altering meetings scheduled with Google Calendar / Office 365.
* **Show participants** - whether the meeting host and participants' names should be displayed on the device.
* **Show tentative meetings** - Google Calendar and Office 365 have an option to require manual approval from a meeting room owner prior to booking the room. Until this happens the meeting room is in a "tentative" state for the meeting.
* **Show side panel with today's schedule** - show a list of upcoming meetings on the right side of the device. When this option is disabled, only information about the next meeting is displayed at the bottom of the screen. This might be preferred on devices in portrait orientation.
* **Show meeting description** - display a plain text version of the meeting description.

### Advanced settings

* **Enable booking the room for later** - let users book the room for later today or a few days in advance directly from the device. \
  *Note: Users won't have the option to remove the meeting or alter it after it's created.*
* **Energy saving** - this option will black out the screen on a preconfigured schedule. See [Energy saving](/reference/account-settings/energy-saving) for details.
* **Use custom time options for create/extend meetings** - customize available time options for creating and extending meetings from the device.
* **Report issues from device** - let users report issues with meeting rooms (broken or missing equipment) right from the device. See [Email notifications](/reference/account-settings/email-notifications) for details.

### Ask for confirmation to

To improve meeting room usage, you can introduce a confirmation screen prior to creating, extending, checking in, or ending a meeting. This introduces an additional step for the user, which might be beneficial in case of large meeting rooms that are a scarce resource. See [How to ask for confirmation prior to booking a room from a display](/tutorials-and-troubleshooting/how-to-ask-for-confirmation-prior-to-booking-a-room-from-a-display) for an example.

### Floor map

Pick a floor defined in the [Office maps](/reference/office-maps) dialog or upload a custom floor plan image. Once selected, users can access it from the "Floor map" button, as shown in the screenshot below.

# Multiple calendars view settings

You can open the multiple calendars settings screen by clicking the device on the devices list in the Roombelt administration panel.

# Status board view settings

You can open the status board settings screen by clicking the device on the devices list in the Roombelt administration panel.

### View

In this section, select the "Status board" option and select calendars displayed on the device. You can choose individual calendars and select the "All connected devices" option to automatically include all calendars already configured in Roombelt.

### Status board mode

* **Available rooms on the top and list of upcoming meetings below**.
* **List of upcoming meetings** - only show a list of meetings and skip information about available rooms at the top.
* **List of selected meeting rooms** - only show the current status for each meeting room and don't show a list of upcoming meetings.

### Slide show

You can use a single TV to show list of upcoming meetings as well as essential company announcements. For an example, see [How to setup a slide show on Roombelt status board](/tutorials-and-troubleshooting/how-to-setup-a-slide-show-on-roombelt-status-board).

The "Configure slide show" button opens a "Dashboard slides" screen with the following options:

* **Slide show mode** - enable slide show and set time per slide.
* **Alternate between dashboard and slides** - when enabled, it shows the meeting status board between slides. Otherwise, it shows the status board only before the first slide.
* **List of slides** - click the green "New slide" button to add a slide. You can reorder your slides with drag and drop. To remove a slide, hover it and click the "Remove" button.

* **Show current date next to current time** - controls whether the current date is shown next to the current time in the upper right corner of the status board.

### Status board columns

Configure columns visible on the status board:

* **Meeting title**
* **Meeting host** - enable this option to display the host in a separate column. Otherwise, the meeting host is shown right below the meeting title.
* **Meeting room location** - the value of the "Location" field for meeting rooms with devices configured in Roombelt.
* **Meeting start & end time** - complete information about meeting start & end.
* **Meeting status** - short information about the meeting status (e.g., "Started 10 minutes ago" or "Starts at 11:00 am").

# Custom background & theme

The theme customization options are available in the "Theme" section, as shown in the screenshot below.

* **Upload background** - select the file used as a background image for the device.
* **View background** - download/view the current background image.
* **Edit custom styles** - open the editor of the custom styles file. See [#working-with-custom-styles](#working-with-custom-styles "mention") for details.

### Sample customization snippets

#### Setting a device font size

Users can adjust the font size used by a tablet using the "+" and "-" buttons displayed on the bottom of the device (see screenshot below).

If you prefer to have a fixed font size (so that it cannot be changed with the "+" and "-" buttons) add the following code at the beginning of the styles file:

#### Hiding the bottom "configuration bar"&#x20;

Right after opening Roombelt on a device, a small "configuration bar" is displayed on the bottom of the screen for a few minutes (see screenshot below for reference). Some customers prefer to hide it after the initial configuration. You can achieve this by adding the following line at the very beginning of the styles file:

# Audit log

Roombelt keeps an audit log of all actions triggered from the connected devices. The audited actions are:

* New meeting (meeting created from a device).
* End meeting early.
* Start meeting early (check-in before the meeting starts).
* Extend meeting.
* Check-in to meeting.
* Cancel meeting (end it before it starts).
* Cancel automatically (nobody checked in on time).
* Remove recurring (nobody checked in to a recurring meeting a few times in a row).

To open the audit log, click the "Audit log" button on the Roombelt administration panel, as shown in the screenshot below.

Roombelt shows a paginated list of all events tracked in the last seven days. You can filter events by time, type, meeting room, and meeting summary.&#x20;

Click "Get report" to download a CSV with a list of all events tracked by Roombelt since you signed up for the product.

# Office maps

You can define office maps for your buildings using the "Office maps" button on the dashboard. Floors configured there can be selected in the "Floor map" section in the "Device settings" screen.

# Bulk editing devices

Managing more than a few devices can be challenging. You can use "bulk edit" to simplify the process of introducing changes on a large number of devices:

1. Use checkboxes on the left side of the devices list to select devices you want to update.
2. Click the "Bulk edit" button.
3. Configure the options you wish to change.
4. Click "Next" and then "Confirm".

# Disabling devices

Sometimes connected devices must be temporarily turned off, e.g., due to renovation work in the office building. To skip sending [email notifications](/reference/account-settings/email-notifications) for such devices, mark them as disabled in the Roombelt administration panel:

1. Click the "three dots" icon for the device.
2. Select the "Disable" option.
3. Optionally, provide the service message displayed on the device if it gets turned on.
4. Click "Disable device".

You can re-enable the device by clicking it on the devices list in the administration panel.

# Reconnecting devices

We use browser cookies to store the connection between devices and the Roombelt account. On some older devices, the connection occasionally breaks, and the device displays a "connection code" instead. To restore the connection with your Roombelt account:

1. In the administration panel, click the "three dots" icon for the device that got disconnected.
2. Select the "Reassign" option.
3. Type the connection code from your device and click "Reconnect".

Customer data is processed on [trusted partner's](https://www.clever-cloud.com/about/) servers located in Paris and is never sent to any third-party analytics service. We use only **GDPR-friendly** service providers and host our services in the European Union to ensure the **highest data privacy standards**. # Understanding permissions in Google Calendar

When signing up for the product with a Google account, you grant Roombelt permission to access and modify your calendars. Roombelt uses this permission whenever it interacts with Google Calendar.

Let's call the user who signed up to Roombelt and configured devices an **admin user.** When someone taps the button to create a meeting from a tablet, Roombelt creates the meeting in the name of the admin user (The admin user will be a creator of the meeting in Google Calendar).

Moreover, Roombelt can read and edit only the calendars visible on the Google Calendar list in the admin user account (see screenshot below). If a meeting room is missing in Roombelt or marked as read-only, see [How to add missing Google Calendar room](/tutorials-and-troubleshooting/how-to-add-missing-google-calendar-room).

# Understanding permissions in Microsoft Office 365

When signing up for the product with a Microsoft account, you grant Roombelt permission to access and modify events in your calendars in Outlook. Roombelt uses this permission whenever it interacts with Microsoft 365.

Let's call the user who signed up to Roombelt and configured devices an **admin user.** When someone taps the button to create a meeting from a tablet, Roombelt creates the meeting in the name of the admin user (The admin user will be a creator of the meeting in Outlook).

The admin user needs to sign in to Roombelt at least once every 90 days. Otherwise, Microsoft will revoke Roombelt access to your calendars.&#x20;

Moreover, Roombelt can read and edit only the calendars visible on the calendar list in the admin user account in Outlook (see screenshot below).
